1. Who We Are

TranslateBot V2 ("we", "us", "our") is a Discord translation bot and associated web dashboard available at v2.translatebot.app. By using our bot or website you agree to this policy.

2. Data We Collect

2.1 Discord Server Data

Guild ID, name, and owner ID — to identify and manage your server's configuration.
Subscription tier and token balances — to enforce plan limits and track usage.
Translation group configuration — channel IDs, webhook tokens, and language settings you configure.
Manager role ID — if you assign a manager role via /set-manager-role.
Event logs — translation requests, token deductions, and subscription changes, keyed by guild ID.

2.2 User Data

Discord user ID — to associate purchases with users and display dashboard information.
Display name and avatar — fetched from Discord at login, used only for display in the dashboard.
Per-user language preferences — if set via /set-user-language.

2.3 Purchase Data

Entitlement IDs, SKU IDs, purchase dates, and subscription status from Discord's billing system.
We do not store credit card or payment details. All billing is handled by Discord.

2.4 BYOK (Bring Your Own Key)

If you provide a third-party API key (DeepL or Google Translate), it is stored encrypted using AES-256-GCM with a unique random salt per key.
The key is only decrypted in-memory at the time of translation and is never logged or transmitted to third parties other than the provider you selected.

2.5 Contact Form

Name, email address, and message content submitted via our contact form.
Used solely to respond to your enquiry.

2.6 Website Analytics

We do not use third-party analytics or advertising trackers.
Standard server access logs (IP address, user agent, timestamp) may be retained for up to 30 days for security purposes.

3. How We Use Your Data

To provide and operate the translation service.
To enforce subscription limits and token balances.
To respond to support requests.
To detect and prevent abuse.

We do not sell, rent, or share your data with third parties for marketing purposes.

4. Data Retention

Guild configuration — retained for 365 days after the bot is removed from your server. This is necessary to preserve token usage history and prevent circumvention of free-tier limits upon reinstallation. After 365 days the record is permanently deleted.
Event logs — retained for 90 days then automatically purged.
Purchase records — retained for 2 years for accounting purposes.
Contact messages — retained for 12 months then deleted.
BYOK API keys — deleted immediately when you remove the key via /api-key remove or remove the bot.

5. Third-Party Services

Discord — authentication, billing, and bot platform. Governed by Discord's Privacy Policy.
DeepL / Google Translate (BYOK only) — if you configure your own API key, message content is sent to your chosen provider under your account's terms. We do not store the translated content.

6. Security

We implement industry-standard security measures including encrypted storage of sensitive credentials, HTTPS-only access, and access controls limiting who can view your data. However, no system is perfectly secure and we cannot guarantee absolute security.

7. Your Rights

You have the right to:

Request a copy of data we hold about your server or user ID.
Request deletion of your data by contacting us. Note that removing the bot from your server does not immediately delete your data — guild records are retained for 365 days before permanent deletion.
Withdraw consent for BYOK key storage at any time via /api-key remove.

8. Children

Our service is not directed at children under 13. We do not knowingly collect data from children. Discord's own age requirements apply.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be announced in our support server. Continued use of the bot after changes constitutes acceptance.
